How to create an invoice
Everything happens on this page — no account, no watermark, no limit on how many invoices you make.
- Add your details once. Type your business name and contact details under From and add your logo. They are remembered for every new invoice, together with your currency, tax rates, payment instructions and terms.
- Fill in the client. Enter who you are billing under Bill to. Press Save client to pick them from the list next time.
- Check the number and dates. Invoice numbers count up automatically (INV-0001, INV-0002…). Choose payment terms such as Net 30 and the due date is calculated for you.
- Add line items. Each line has a description, quantity and rate; the amount is calculated as you type. Press Enter in the rate field to start the next line.
- Add discounts, taxes and shipping. Use a percentage or a fixed discount, add one or more tax lines, and record any amount already paid to show the balance due.
- Download the PDF. Press Download PDF / Print and choose “Save as PDF”. The invoice is also saved to History, where you can reopen or duplicate it later.
What to include on an invoice
A clear invoice gets paid faster. Most invoices include:
- a unique invoice number
- your business name, address and contact information
- the name and address of the customer you are billing
- the invoice date and, if different, the date the goods or services were provided
- a description of each product or service, with quantity, rate and amount
- the subtotal, any discount, each tax with its rate, shipping, and the total amount owed
- the payment terms and due date
- how to pay you — bank transfer details, a payment link, or the accepted methods
Invoice rules depend on where you do business
There is no single official invoice format in the United States, but invoices are part of your business records: the IRS lists invoices among the supporting documents for gross receipts, purchases and expenses (IRS: What kind of records should I keep). Keep a copy of every invoice you send.
Some countries spell out what an invoice must contain. In the UK, for example, GOV.UK lists a unique identification number, your company name, address and contact information, the customer’s name and address, a clear description of what you are charging for, the supply date, the invoice date, the amounts charged, VAT if applicable, and the total amount owed — and VAT-registered businesses must issue VAT invoices with more information (GOV.UK: Invoices – what they must include). If you are registered for VAT, GST or sales tax, check your tax authority’s requirements, such as showing your registration number.
Payment terms explained
Payment terms tell the client when the invoice must be paid. The most common ones are:
- Due on receipt — payment is expected as soon as the invoice arrives.
- Net 7, Net 15, Net 30, Net 60 — the full amount is due that many days after the invoice date. Net 30 on an invoice dated October 8 means it is due November 7.
- 2/10 Net 30 — a common early-payment offer: the client may take a 2% discount if they pay within 10 days; otherwise the full amount is due in 30 days. Write it in the terms box if you offer it.
- Custom — pick any due date, for example a milestone or the end of the month.
Sales tax, VAT and GST on an invoice
Add a tax line for each tax you charge — for example state and local sales tax, or GST and PST in Canada. Each tax is calculated on the taxable amount and shown on its own line with its rate, which is how most clients and accountants expect to see it.
Once you add a tax, each line item gets a Tax checkbox so you can leave out items that are not taxable. A discount is spread over taxable and non-taxable items in proportion to their amounts, and you can choose whether tax applies to shipping. Which goods and services are taxable, and at what rate, depends on where you and your customer are, so check with your state or national tax authority — this generator does the arithmetic, not the tax advice.
Invoice numbering tips
Give every invoice its own number and never reuse one. A simple sequence (INV-0001, INV-0002) works well, and some businesses add the year (2026-001) or a client code. Type your own format in the number box once and the next invoice continues from it.
If an invoice you already sent needs a correction, many businesses issue a new invoice or a credit note rather than changing the original, so both sides keep matching records. Duplicate copies an invoice with a new number and today’s date, which is also handy for monthly retainers.
Currencies, number and date formats
Choose from more than 20 currencies, including USD, EUR, GBP, CAD, AUD, INR and JPY. Amounts are formatted the way that currency is usually written — for example ₹1,23,456.78 for rupees or ¥1,234 with no decimals for yen — and are calculated to the currency’s smallest unit, so totals always add up.
Under Number format, date format & color you can switch to 1.234,56 or 1 234,56 style numbers, pick a date style such as Oct 8, 2026 or 08/10/2026, and choose an accent color that matches your brand.
Saving as PDF and printing
The download uses your browser’s print window, so the PDF is created on your device with selectable text. Pick US Letter or A4 to match your client. For a clean page, choose “Save as PDF”, turn off headers and footers, and keep the scale at 100%. Long invoices continue onto the next page automatically.

Is this invoice generator really free?
Yes. There is no sign-up, no watermark and no limit on the number of invoices. Everything runs in your browser.
How do I save my invoice as a PDF?
Press Download PDF / Print, then choose Save as PDF (or Microsoft Print to PDF) as the printer. The file name is filled in for you, for example “Invoice INV-0001 - Acme Corp”.
Can I add my company logo?
Yes. Click Add your logo and choose a PNG, JPG, SVG or WebP file. It is resized in your browser, stays on your device, and appears on every new invoice.
How do I add sales tax or more than one tax?
Click Add tax under the subtotal and enter a name and rate, such as “Sales tax 8.25”. Add another line for each additional tax. Untick Tax on any item that should not be taxed.
What does Net 30 mean on an invoice?
It means the full amount is due 30 days after the invoice date. Choose Net 30 in Payment terms and the due date is filled in automatically.
Can I make an invoice in euros, pounds or another currency?
Yes. Pick the currency at the top. Amounts, the currency symbol and decimals follow that currency, and you can change the number and date format under the extra options.
Where are my invoices stored?
Only in this browser’s local storage on this device. They are not uploaded, so they will not appear on your other devices and will be deleted if you clear your browser data. Download a PDF of each invoice, and use Export list as CSV in History for your records.
What is the difference between an invoice and a receipt?
An invoice asks for payment; a receipt confirms that payment was received. When the amount paid covers the total, the invoice shows a PAID mark and a zero balance — you can also change the title to “Receipt”.
